Hidden Costs Deep Dive

The advertised price is never the full picture. Here are the costs that catch teams by surprise after they have already committed to a tool.

SSO / SAML Tax

Monday.com, Asana, ClickUp, and Trello all restrict SSO to their most expensive tier. For a 50-person team, this can mean paying $12-19/user/mo instead of $7-10/user/mo just to get single sign-on. Jira is the exception, offering SSO through Atlassian Guard on Standard tier. This is arguably the most expensive hidden cost in PM software, often doubling the effective price for security-conscious organisations.

Affected: Monday.com (Enterprise), Asana (Enterprise), ClickUp (Enterprise), Trello (Enterprise)

Guest / External User Pricing

If your team works with external clients, contractors, or stakeholders, guest pricing matters. Monday.com charges for guests on Pro and above. Asana allows limited guest access on paid plans. ClickUp includes guests on Business tier. Jira charges per external user. For agencies and consultancies managing client projects, this can add 20-40% to the total cost.

Affected: Varies by tool and tier

Storage Limits

ClickUp Free has only 100MB of storage. Monday.com Basic offers 5GB. Trello Free allows 10MB per attachment and unlimited total. Jira Free provides 2GB total. Once you exceed these limits, you are forced to upgrade to a higher tier regardless of whether you need the other features. Teams that share a lot of files or attachments hit these limits faster than expected.

Affected: Most restrictive on free tiers

Automation Limits

Automations are one of the most valuable PM features, but they are heavily gated. Monday.com Standard allows only 250 automations per month. Asana Starter limits automations. Trello Standard offers 1,000 automations per month. Wrike Team provides just 50 per month. Heavy automation users often need to jump to Pro or Business tiers, significantly increasing cost.

Affected: Monday.com (250/mo on Standard), Wrike (50/mo on Team)

Tier-Locked Features

Key features like time tracking (Monday Pro), goals and portfolios (Asana Advanced), Gantt timelines (Trello Premium), and advanced reporting (ClickUp Business) are locked behind higher tiers. The advertised starting price rarely includes the features teams actually need, pushing the real cost 50-100% higher than the entry-level tier.

Affected: All tools use feature gating

Price-Per-Feature Value Analysis

Which tool gives you the most features at each price point? We count core PM features available at each tier to determine real value.

Best value under $8/user
ClickUp Unlimited

At $7/user/month on annual billing, ClickUp Unlimited includes unlimited storage, unlimited integrations, unlimited dashboards, agile reporting, and time tracking. No other tool at this price point offers comparable breadth. Jira Standard at $7.75/user/mo is close but lacks Gantt charts and built-in time tracking.

$7/user/mo -- 20+ core features
Best value under $15/user
Monday.com Standard

At $12/user/month, Monday.com Standard unlocks timeline and Gantt views, guest access, 250 automations per month, and calendar view. The visual interface and ease of use make it the best mid-range option for non-technical teams who need more than basic task management.

$12/user/mo -- visual work management
Best value for large teams
Basecamp Pro

At a flat $299/month regardless of team size, Basecamp Pro is unbeatable for teams over 40 people on a per-user basis. The trade-off is fewer features -- no Gantt charts, no automations, no custom fields. But for teams that value simplicity and predictable pricing, it is hard to argue with the math.

Pricing FAQ

What is the cheapest project management tool for a team of 20?
Trello Standard at $5/user/month (annual) costs $1,200/year for 20 users. ClickUp Unlimited at $7/user/month costs $1,680/year. Jira Standard at $7.75/user/month costs $1,860/year. Basecamp Pro at a flat $299/month on annual billing ($3,588/year) becomes competitive at 30+ users since it is not per-user pricing.
Are annual plans always cheaper than monthly?
Yes, every major PM tool offers 15-40% discounts for annual billing. Monday.com saves 18% annually, Asana saves 18%, ClickUp saves 30%, and Trello saves 17%. The exception is Linear, which charges the same rate for monthly and annual billing. Always choose annual if you are confident you will use the tool for 12+ months.
Which project management tools have hidden costs?
The biggest hidden cost is the SSO tax -- Monday.com, Asana, ClickUp, and Trello all lock SSO/SAML behind their most expensive tier, forcing enterprises to pay premium prices. Asana charges significantly more for its Advanced tier to unlock goals and portfolios. Wrike has a steep jump from Team to Business tier. Guest user pricing varies widely and can add unexpected costs for client-facing teams.
How much does project management software cost per year for a team of 50?
At 50 users on the standard paid tier (annual billing): ClickUp Unlimited costs $4,200/year, Trello Standard costs $3,000/year, Jira Standard costs $4,650/year, Monday.com Basic costs $5,400/year, Asana Starter costs $6,594/year, and Wrike Team costs $6,000/year. Enterprise tiers typically cost 2-3x these amounts.
Is Basecamp cheaper than per-user tools for large teams?
Basecamp Pro costs a flat $299/month on annual billing ($3,588/year) regardless of team size. This becomes cheaper than per-user tools at around 30-40 users depending on the tool. For a team of 100, Basecamp costs $3,588/year while ClickUp Unlimited would cost $8,400/year. However, Basecamp has significantly fewer features than most PM tools -- no Gantt charts, no automations, no custom fields.
